Core Function

The Finance & Admin Executive will be responsible to provide support for the finance and administrative functions in the daily operating of the head office/ day activity centre in Upper Thomson.

 

Core Responsibilities

  1. Assist in preparing payment vouchers, official receipts, and tax-exempt receipts.
  2. Track monthly expenditures.
  3. Perform data entry into accounting software.
  4. Handle accounts payable tasks, including invoice validation, processing payments, sending remittance advices, and managing related documentation.
  5. Perform accounts receivable functions.
  6. Reconcile accounts, including matching donation records with the Donation Management System.
  7. Update the Admin team on client fees received via bank transfer.
  8. Maintain a client fee register for monthly bank deposits (UT).
  9. Ensure proper filing of financial documents.
  10. Assist with documentation for grant claims or audits.
  11. Provide administrative support to the Finance and Admin Manager, assisting with accounts related tasks as needed.
  12. Maintain an organized filing system for correspondences and documents.
  13. Attend to phone calls, emails, and manage office counters.
  14. Assist with any tasks assigned by the Finance and Admin Manager or the Executive Director

Core Work Requirements

Education:

  • Minimum diploma in related field.

Experience:

  • 2-3 years of relevant work experience required
  • Experience in using QuickBooks is an advantage
  • Experience in charity accounting is an advantage

Special skills:

  • Excellent oral and written communication skills.
  • Ability to establish and maintain positive working relationships with staff, volunteers, and the public.
  • Strong self-direction and ability to work independently.
  • High attention to detail and accuracy.
  • Excellent administrative and organization skills (orderly and systematic).
  • Effective time management and the ability to meet deadlines.
