Admin Executive

• Location: Telok Ayer

• Working hours: 08:30 to 17:00 (Monday to Friday)

 

Our client, an Energy Company, has started looking for an Administrative Executive who can commit for a short period from Spring 2025.

 

Job responsibilities:

General Administration:

  • General Secretarial and administration support
  • Plan, organize and maintain the appointment schedule/calendar for General Manager & Deputy General Manager
  • Handle travel arrangements for management including but not limited to booking of air tickets, accommodations, transfers, visa, etc.
  • Handle daily correspondence, documents & letters
  • Handle office upkeeps such as replenishing of stationery, copier paper, etc.
  • Prepare the reports and presentations
  • Checking and submission of expenses and claims
  • Correspondence (external) – Point of contact with key stakeholders and business partners
  • Correspondence (internal) – Point of contact with the Headquarters

Expat Management:

  • Handle all expatriate relocation matter and ensuring compliance with company expatriate policy and practices
  • Handle all expatriate housing matter including but not limited to renewal and aircon maintenance

Human Resource Operations:

  • Manage application, renewal and cancellation of work passes and related passes
  • Maintaining of staff’s and expatriate’s personal files
  • Assist with expatriates’ income tax and tax clearance
  • Handle expatriate’s income tax and tax clearance after filing

Accounting and Finance:

  • Prepare payment vouchers and cash reimbursement including but not limited to processing and issuing cheques for payment
  • Responsible for timely, month-end, and annual closing of accounts
  • Prepare and send monthly full set financial statements to headquarters
