Administrative Officer
We're an established corporate services firm helping businesses set up and operate in Singapore & Malaysia — covering incorporation, Cosec, Employment Pass, accounting, tax, and more.
We're a hands-on, client-focused team looking for someone junior, reliable, and willing to learn to support our Singapore office.
The Role
A generalist role suited for someone who is organised, willing to learn, and comfortable handling paperwork, client follow-ups, and day-to-day admin. You'll support the team across document prep, client communication, filing, data entry, and general office tasks — plus ad hoc duties assigned by the manager.
What You'll Do
📁 Admin & Documentation Support
* Prepare, organise, and file company documents, forms, and client records
* Maintain filing systems, tracking sheets, and client folders
* Collect, check, and follow up on client documents
* Update company and client information in internal systems
* Assist with basic document preparation, letters, and forms
* Support simple government portal submissions under guidance
💬 Client Service & Follow-Up
* Respond to client enquiries via email, WhatsApp, and phone
* Follow up on missing documents, signatures, and payments
* Assist with new client onboarding and document collection
* Coordinate with internal teams (Cosec, accounts, tax, EP)
* Keep CRM notes and task trackers updated
🗂️ General Admin & Ad Hoc
* Help with quotations, invoices, engagement letters, and admin records
* Support scheduling, courier, notarisation, and office coordination
* Scanning, filing, data entry, reports, and shared inbox management
* Carry out other ad hoc duties assigned by the manager

What We're Looking For
✅ 2 years in admin, customer service, or a similar office role
✅ Fresh graduates welcome to apply
✅ Comfortable with paperwork, forms, filing, and follow-up work
✅ Good written and spoken English; Mandarin a bonus to effectively communicate with Mandarin-speaking clients.
✅ Organised, careful, and willing to learn
✅ Proficient in MS Office, Google Workspace, email, and WhatsApp
✅ Responsible, positive attitude, and a team player
Requirements:
Attention to detail with a strong sense of responsibility.
Degree/Diploma in business administration or related disciplines.
