Operations and IR Associate

About the role

Operations & Investor Relations Associate, supporting Private Strategy Operations, Investor Onboarding & KYC, and Corporate Account Openings for an Asset Management Firm. You will manage cooridnate deal closing, capital calls, investor onboarding, transaction document preperation, and account operations while serving as a liaison between investment teams, compliance, and external parties.

Key responsibilities

1.    Private Strategy Operations (Middle Office)

  • Deal Closing Coordination & Support: Lead the deal flow—managing KYC/AML documentation, coordinating with external parties, and ensuring funding timelines are met for various asset types.

  • Capital Call & Distribution Management: Execute the end-to-end "Drawdown" process. You will calculate investor hit-rates, issue call notices, and track the receipt of funds.

  • Preparation of transaction documents for deals and preparation of standard Directors’ Resolution In Writing (DRIW) as required.

  • Work with the appointed corporate secretaries (Corp Sec) to prepare the non-standard DRIW and arrange for signatures. Ensure that the Corp Sec completes the necessary filings.

  • Valuation Coordination: Act as the liaison between the investment team and the third-party Fund Administrator to ensure private, illiquid assets are valued correctly for quarterly reporting.

  • Shadow Bookkeeping: Co-ordinate with the Back Office team to ensure accuracy of the NAV report prepared by the Fund Administrator.

2.    Investor Onboarding & Global KYC (Back Office)

  • Gatekeeper of the Fund: Manage the subscription & redemption process for High-Net-Worth (HNW) individuals, Family Offices and Institutional Investors. You are the "first impression" of the firm during onboarding.

  • Onboarding: Work with compliance to ensure all relevant Know Your Customer (KYC) supporting documents are collated.

  • Bespoke KYC: Navigate complex ownership structures (Trusts, Foundations, and Offshore SPVs) to satisfy AML requirements.

  • Investor Portal Management: Own the digital repository where investors access their Contract Notes, quarterly reports, and capital call notices.

3.    Treasury & Institutional Setup (Back Office)

  • Bank Navigator: Lead the opening of multi-currency bank accounts for new Sub-Funds or SPVs. This involves managing KYC requests from banks that often struggle with private fund structures.

  • Manage account opening with brokerages and other counterparties as required.

  • Expense Management: Review and process fund-level invoices (Legal, Audit, Admin).

  • Regulatory Filings: Assist with periodic filings related to fund operations.

Requirements

  • Diploma in Accounting, Business, Finance or Banking

  • Minimum 2 years in Private Equity operations, Fund Administration, or a Middle Office role at a multi-asset manager

  • Familiarity with Private Placement Memorandums (PPMs) and how capital commitment structures work

  • Meticulous and organized

  • Able to act and operate independently with minimum supervision to accomplish tasks

  • Able to meet assigned deadlines

  • Able to excel in small setup company environment

  • Excellent documentation skills

  • Priority will be given to those who can start work on short notice

  • Those with experience in asset management industry will be highly regarded

  • Able to understand financial statements and accounts, and liaise with end clients

  • Proficiency in Microsoft Office, good written and spoken English and Mandarin. We are seeking candidates proficient in Mandarin to effectively communicate with Mandarin-speaking clients.
