PROCUREMENT EXECUTIVE

Role Overview

This position We are looking for a detail-oriented Procurement Executive to support the procurement administrative duties. You will work closely with suppliers, warehouse, operations and internal stakeholders to maintain optimal inventory levels, manage procurement transactions, and resolve product or supply issues quickly.

Key Responsibilities

  • Procurement Processing: Manage Purchase Requisitions (PR), Purchase Orders (PO), and Goods Receipt Notes (GRN) for all procurement activities.

  • System Accuracy: Ensure procurement transactions, inventory records, and supporting documentation are accurately maintained in the procurement system.

  • Supplier Coordination: Liaise with suppliers, warehouse, and operations teams to resolve product shortages, delivery discrepancies, and quality-related issues.

  • Claims Management: Support supplier claims, investigations, and corrective action follow-ups to ensure timely resolution.

  • Material Planning: Monitor inventory levels and forecast material requirements to ensure uninterrupted business operations.

  • Stakeholder Communication: Serve as the key liaison between suppliers, warehouse personnel, freight forwarders, and internal stakeholders.

  • Delivery Monitoring: Track supplier delivery schedules and follow up to ensure materials are delivered on time.

  • Delivery Rescheduling: Coordinate and adjust delivery schedules based on operational or production requirements.

  • Database Management: Maintain and update supplier records, pricing information, inventory databases, and procurement documentation.

  • Administrative Support: Provide operational and administrative support to the procurement team and management.

  • Continuous Improvement: Identify opportunities to improve procurement processes, cost efficiency, and supplier performance.

  • Ad-hoc Duties: Undertake additional responsibilities as assigned by management.


Requirements

  • Minimum 1 years of purchasing or procurement administrative experience. Experience in the F&B industry will be an added advantage.

  • Fresh graduates are welcome to apply

  • Familiarity with procurement processes, inventory management, and supplier coordination.

  • Strong organizational skills with high attention to detail and accuracy.

  • Good communication, negotiation, and stakeholder management skills.

  • Self-motivated and able to work independently with minimal supervision.

  • Proficient in Microsoft Office applications and procurement/ERP systems.

  • Proactive learner with a positive attitude and willingness to develop new skills and knowledge.
